Task 1

You are required to create a PowerPoint presentation covering the work to date. It is expected that this presentation would normally include 12 slides.

The presentation will need to cover the following:

1. The planned route and itinerary (Deliverables)
2. A Work Breakdown Structure
3. A Gantt chart (Network Diagram)
4. Costing to cover all items to be charged
5. An outline brief for cyclists (including risks)

Project Objectives
The project objectives recorded at the meeting are as follows:
– To prepare a route and itinerary from Bath to Salisbury suitable for all cyclists to undertake. It was agreed that this would involve two consecutive days cycling with approximately 20 miles to be covered in each day. As far as possible the route would avoid the A36.
– To develop a plan (including WBS and network diagram) for a group of 20 cyclists to travel from Bath to Salisbury.
– To provide costs which cover all transport and accommodation for one night between Bath and Salisbury.
– To prepare a risk assessment to help to deliver a successful event.
– To raise at least £2000 in aid of Sports Aid.

Bath to Salisbury

SCENARIO

Cycling Club (WUCC) has approached your project management organisation, Active Projects Ltd (APL) with an exciting consultancy assignment. They want APL to plan and cost a fund raising cycle ride from Bath to Salisbury. The intention is for the ride to take place in September 2014 and to raise at least £2000. Your consultancy considers this assignment a golden opportunity to enter a growth market for active fund raising events.

The agreed timescale for delivering the project plan is 7th July 2014.

WUCC is seeking advice from your consultancy (APL) on the phases and activities of this important project for them. WUCC has never run a cycling event before and is relying on your expertise in project planning and costing to ensure the project is a fundraising success.

In the absence of any written requirement specification it was considered necessary for WUCC to meet you as soon as possible to agree and define the project. At the first meeting the project objectives, project requirements and constraints were agreed (see below).

 

Project Objectives
The project objectives recorded at the meeting are as follows:

Limits and Exclusions
It was also agreed that certain items would be outside the remit of APL:
– All 20 cyclists to travel to Bath at their own expense, with their own bicycle and be ready to start at 9am on 14thSeptember 2014.
– All 20 cyclists to arrange their own journey home from Salisbury.
– All hotels to be booked on a half board basis and included in the costing of the event.
– Any supplementary food or drinks to be bought at the expense of the individual cyclist.
– All telephone and communications to be the responsibility of the individualcyclist.
– APL take no responsibility for any equipment including bicycles
– The individual is to be ready to travel as per the itinerary and will be responsible for themselves if they are delayed
– Cyclists are to be provided with an introduction pack in advance of the event, including a map of the route and details of sites of interest and any other information you think would be helpful.

Additional Project Assumptions
You need to make additional assumptions to enable the cost of the project to be estimated. These MUST be made explicit in your assignment. For example you will need to decide whether the participants are in double rooms or single rooms, or give a costing for both.

Project Deliverables/Milestones
The decision to go ahead with the project is Thursday, 12th June 2014. The project Work Breakdown Structure, Network Diagram, costing, and route need to be ready for review by WUCC on 7th July 2014. There will be milestones you will want to include within the project. You team will need to advise the WUCC on these.

Assumptions
You will need to make assumptions to complete this exercise and must ensure that these are justified, logical, robust and consistent. In particular you may need to make some estimates of costs. You will need to refer to websites in order to find prices and you should give the full references in such cases. Please remember to refer to academic literature as appropriate.
